About New Roots Institute

New Roots Institute is a growing nonprofit organisation committed to ending factory farming by empowering the next generation of advocates. Through its Leadership Academy and Academic Year Fellowship, the organisation trains students to lead advocacy campaigns that promote structural and behavioural change in their communities.

The organisation seeks a motivated and mission-driven Program Coordinator to support the smooth delivery of its educational and advocacy programmes, strengthen participant engagement, and maintain the administrative systems that underpin its work.

Key Responsibilities

The Program Coordinator will coordinate the operational and administrative activities that support the organisation’s fellowship and leadership programmes. Responsibilities include:

  • Programme coordination: Organise Leadership Academy and Academic Year Fellowship sessions, set up virtual events and meeting links, monitor live sessions, and ensure activities begin on time and run smoothly.
  • Fellow support and follow-up: Maintain participation records, monitor onboarding requirements, follow up on missed sessions and assignments, respond to routine questions, and complete end-of-programme procedures.
  • Admissions and recruitment: Process applications, monitor the admissions inbox, schedule interviews and welcome calls, conduct some welcome calls, and maintain accurate applicant records during high-volume periods.
  • Data management and reporting: Track fellow and alumni engagement, achievements, advocacy campaigns, and career outcomes. Review records regularly, obtain missing information, and update systems used for organisational learning, reporting, and grant applications.
  • Administrative systems and documentation: Create and maintain recurring task structures, update programme resources, manage annual programme rollovers, and prepare clear, professional presentations and documents.
  • Team collaboration: Work closely with programme teams, adapt to changing priorities, communicate progress and capacity, and manage competing responsibilities effectively.
  • Process improvement: Take ownership of recurring tasks and projects, work independently when appropriate, seek guidance when needed, and identify opportunities to simplify or automate processes.

Required Qualifications and Experience

Applicants should demonstrate the following:

  • At least one year of work experience involving administrative, coordination, or operational responsibilities, including part-time employment or internships. Applicants who completed the New Roots Institute Academic Year Fellowship may apply regardless of whether they meet this experience requirement.
  • A genuine commitment to building a long-term career in the movement to end factory farming.
  • Excellent organisational skills and attention to detail, with the ability to manage multiple recurring tasks and meet deadlines consistently.
  • Persistence and diplomacy when following up with people for outstanding information or incomplete tasks.
  • Strong written communication skills, including the ability to communicate warmly with programme participants and clearly with colleagues and external contacts.
  • Good judgement when deciding which questions to handle independently and which issues should be escalated.
  • Confidence using spreadsheets and willingness to learn new digital platforms.
  • Interest in using artificial intelligence tools thoughtfully to improve efficiency and the quality of work.

Experience with Zoom, Google Workspace, Asana, Airtable, and Circle is an advantage but is not mandatory.

Additional Requirements

  • Vegan and anti-speciesist values: Applicants must share the organisation’s commitment to veganism and the belief that non-human animals should not be treated as resources for human use. The organisation states that team members do not consume animals or animal products.
  • In-person gatherings: The successful candidate must be available for two annual events: the team retreat, typically held during the first full week of June, and the New Roots Summit, anticipated around the first week of August beginning in 2027.
  • Flexible scheduling: The role requires availability to support live programme sessions. Academic Year Fellowship sessions take place in the evenings, while the summer Leadership Academy runs on weekday mornings in Pacific Time. Working hours may therefore change with the programme calendar.
