The position combines program administration, editorial coordination, stakeholder communication, and data management. It is well suited to someone who enjoys building efficient workflows, coordinating distributed teams, and supporting journalism that examines the societal impact of artificial intelligence.

  • Coordinate the delivery of the AI Spotlight Series in collaboration with external consultants and coaches.
  • Organize training sessions, including scheduling, participant selection, technical support, translation services, and promotional activities.
  • Manage applications, participant communications, and trainee feedback surveys.
  • Support the development of online training materials, curriculum, and website content.
  • Coordinate contractors, videographers, regional partners, and other contributors.

  • Manage and moderate the AI Listserv to support an active, growing professional community.

3. Grants, Fellowships, and Program Administration

  • Process grant and fellowship documentation and track project deliverables.
  • Coordinate payments to grantees, fellows, coaches, and external partners in accordance with agreements and schedules.
  • Monitor paperwork, payment timelines, and project status, resolving issues and escalating them when necessary.
  • Arrange travel insurance and support logistics for program participants.
  • Maintain accurate records and contribute to impact tracking and program evaluation.
  • Support funder communications and reporting by compiling data, preparing reports, and drafting content.

4. Partnerships, Communications, and Events

  • Coordinate with the Communications team to promote programs, events, publications, and resources.
  • Support AI team members and grantees participating in conferences, panels, and other professional events.
  • Assist with the development and launch of new AI-focused products and initiatives.
  • Respond to editorial inquiries and support general editorial administration.
  • Help collect and analyze grantee demographic data and contribute to website publishing and copywriting as needed.

5. Organizational Collaboration

  • Work collaboratively with colleagues and partners across countries, cultures, and time zones.
